Who we are

These pages are where people arrive from our Google adverts for heat pumps, EV chargers, landlord certificates, and solar panels and batteries. They are built and run for us by Holo Digital, our marketing agency, which processes your data on our behalf and on our instructions. Our main website, hrbmech.com, has its own privacy notice.
What we collect when you send the enquiry form
- What you type: your name, phone number, email address, postcode, the service you are asking about, whether you are a homeowner or a landlord, and your message.
- About your visit: the page you were on, the advert click that brought you here (Google's click identifier and campaign tags from the link), the area Google reported for the click (a town or district, not your exact location), the time, and your IP address and browser type, which come from the connection.
If you phone us instead, we take the details we need to arrange your survey or quote.
Why, and the legal basis
- To reply to you, arrange the survey or inspection and send you a quote: the steps you asked us to take before any contract (UK GDPR article 6(1)(b)).
- To keep a record of enquiries, to stop the form being misused, and to measure whether our adverts work: our legitimate interests in running the business and its advertising (article 6(1)(f)).
We do not use what you send for anything else, we do not sell it, and we do not send marketing you have not asked for.
Who sees it
- HRB's office in St Neots receives your enquiry by email and calls you back.
- Holo Digital receives the form on our behalf, stores it securely, emails it to us and shows it to us in a private enquiries dashboard. Holo Digital acts only on our instructions.
- Email delivery. The enquiry email reaches us through Mailgun, an email delivery service used by Holo Digital.
- Advertising measurement. We share information with third parties to perform ad measurement services on our behalf. When you send the form, Google Ads is told that an enquiry happened, with the enquiry's reference number and the advert click that led to it, so that we can see which adverts bring enquiries. If we switch on Google's enhanced conversions, your email address and phone number are also sent to Google in hashed form (a one way code that Google matches against its own records and does not turn back into your details).
- Visit statistics. Holo Digital uses PostHog, an analytics service, to count page views and three events: a form started, an enquiry sent, and a tap on the phone number. Each event carries the address of the page you were on, including the advert click identifier, the campaign tags and the service and area in the link; your browser, device and screen size; your IP address and the town PostHog reads from it; and, when an enquiry is sent, its reference number. Your name, email, phone number, postcode and message are never sent to PostHog, and it does not record your screen. PostHog stores this on servers in the United States, as individual events under a random visitor identifier, for up to seven years.
Phone calls from our adverts
When you call the number shown in one of our Google adverts, the call may pass through a Google forwarding number. Google then reports the time, length and area code of the call to our advertising account. Google does not record the call: its call recording runs only for numbers in the United States and Canada.
Cookies and storage on your device
- Google Ads sets first party cookies on hrb.holodigital.co.uk (their names begin
_gcl) that remember the advert click for up to 90 days, so an enquiry or a call can be matched to it. - Our own pages keep the advert click, the campaign tags and the service and area from the link in your browser's storage for 90 days (
hrb_attr), so the enquiry form can carry them, and a short list of enquiry reference numbers (hrb_fired) so one enquiry is never counted twice. - PostHog sets a cookie or storage entry with a random visitor identifier, so repeat visits from the same browser are counted once.
None of these identify you by name. You can clear them at any time from your browser's settings, and the pages work without them.
How long we keep it
Enquiries are kept for two years after our last contact with you, then deleted, unless you become a customer, when the details stay with the records of your job for as long as we are responsible for the work. The visit statistics are kept by PostHog as described above, under "Who sees it".
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, delete it or stop using it, and object to processing based on our legitimate interests. Write to info@hrbmech.com or to the address above. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we would rather you told us first so we can put it right.
Changes
If the way we use your data changes, this notice changes with it, with the date at the top.
